Why Traditional Productivity Hacks Don’t Work for Small Business Owners (and What Actually Does)

Let’s have a little heart-to-heart about productivity because if you're anything like most of the women I coach, you've probably tried all the tricks.
Pomodoro timers. Colour-coded planners. Habit stacking. Blocking out every minute of your day like you’re a robot.
And yet… you still end up feeling behind, frazzled, and wondering if it’s you that’s the problem.
Here’s the truth no one’s really saying:
Most traditional productivity hacks weren’t designed for business owners like you.
You’re not just ‘working on tasks’ you’re running the whole show.
You’re the CEO, the marketing team, the finance department, the admin assistant, the coach, therapist, creative, everything... all rolled into one.
You deal with curveballs. Kids off school. Tech headaches. A client canceling. A dog barking in the background. (Just me?)
Trying to force yourself into someone else’s rigid routine especially one designed for 9–5 desk jobs—can feel more frustrating than freeing.
And let’s be honest…
You didn’t start your business to feel like you’re on a productivity hamster wheel.
So what does actually work?
I like to think of it as “Pomodoro with a twist.”
Instead of sticking to the traditional 25-minutes-on, 5-minutes-off thing (which can honestly feel like a faff when you’re in flow), try this:

Some days, you’ll thrive with longer focus blocks. Other days, you might only manage 10–15 minutes at a time and that’s totally OK.
It’s about flexibility. Compassion. And building your business around your energy not someone else’s system.
It’s still structure but it’s structure that supports you, not squeezes the life out of your day.
Productivity isn’t about doing more. It’s about doing what matters, in a way that feels good.
